How to add services to vehicle sale booking in Gain DMS: A Step-by-Step Guide

In a typical vehicle sales process, the final on-road price is not just the base vehicle costโ€”it includes various value-added services such as insurance, registration, and accessories. Adding these services accurately is essential to present the correct final price to the customer before invoicing.

๐Ÿงญ Step 1: Navigate to Vehicle Sales

  1. Go to Sales
  2. Click on Vehicle Sales
  3. You will reach the Product Sales Worksheet

 

 



๐Ÿ” Step 2: Open Add Services Screen

You can access the services stage in two ways:

Option 1:

  • Click on โ€œServicesโ€ link against the booking

Option 2:

  1. Click on the Sale Code / Booking Number
  2. You will reach the Customer Centre Screen
  3. System will suggest next action as Add Services to Sale.

๐Ÿงพ Step 3: Open Product Additional Services Screen

  • Click on Add Services to Sale
  • You will be redirected to Product Additional Services Screen


 


โž• Step 4: Add Value-Added Services

  • Select and link required services to the booking

Examples of services may include:

  • Insurance
  • RTO Charges
  • Accessories
  • Handling Charges
  • Finance-related charges

 


 


โš ๏ธ Step 5: Mandatory Service Conditions

Ensure the following based on booking type:

๐Ÿ’ฐ Finance Case

  • Add HPA Charges

๐Ÿ›ก๏ธ Insurance by Dealer

  • Add Insurance Charges

๐Ÿš˜ RTO Selection

  • If Permanent Registration โ†’ Add RTO Charges
  • If Temporary Registration โ†’ Add CRTM Charges

โš ๏ธ Important:

  • If these are not added correctly,
    ๐Ÿ‘‰ System will block invoicing

๐Ÿ“‹ Step 6: Review Added Services

  • All selected services will appear in the services list section
  • Verify all required services are added correctly

 


 


โœ… Step 7: Confirm Services (Very Important)

  • Click on Confirm

โš ๏ธ Critical Note:

  • If you do not click Confirm,
    ๐Ÿ‘‰ Sale will NOT move to next stage

๐Ÿ“Š Step 8: System Updates

  • After confirming services:
    • Total Amount is updated
    • Balance Amount is updated

๐Ÿ‘‰ Based on selected services, final
on-road price is calculated

 

 


๐Ÿ’ต Step 9: Next Action โ€“ Collect Full Payment

  • After adding services:
    • Next step โ†’ Collect 100% Payment

Scenario:

  • If payment is pending:
    • Click Collect Balance Payment
    • System redirects to Receipt Screen
  • If full payment already done:
    • Next step โ†’ Vehicle Allotment
