How to add Insurance details to a sale booking in Gain DMS: A Step-by-Step Guide

In vehicle sales, insurance is a mandatory requirement before delivery, ensuring the vehicle is legally covered from the moment it is handed over to the customer. Accurately updating insurance details is therefore a crucial step in completing the sale process.

🧭 Step 1: Navigate to Vehicle Sales

  1. Go to Sales
  2. Click on Vehicle Sales
  3. You will reach the Product Sales Worksheet

 

🔍 Step 2: Open Insurance Screen

You can access the insurance stage in two ways:

Option 1:

  • Click on “Insurance” link against the booking.

 

Option 2:

  1. Click on the Sale Code / Booking Number
  2. You will reach the Customer Centre Screen
  3. System will suggest next action as Insurance
  4. Click on it.

 

🧾 Step 3: Open Product Insurance Screen

  • After clicking Insurance, you will land on the Product Insurance Screen.

 

📊 Step 4: Review Existing Details

  • Insurance details selected during booking stage will be visible here:
    • Insurance Type (e.g., Dealer / Customer)

✍️ Step 5: Enter Insurance Details

1. Policy Number

  • Enter the Insurance Policy Number

2. Policy Dates

  • Start Date and End Date are auto-filled
  • Verify and confirm they are correct

3. Insurance Company

  • Enter/select the Insurance Company Name

4. Upload Policy Document

  • Upload the Insurance Policy Copy

✅ Step 6: Save Insurance Details

  1. Verify all entered information
  2. Click on Save

 

📊 Step 7: System Update

  • Once saved:
    • Insurance details are linked to the sale
    • Record is updated for further processing

🔄 Step 8: Next Action

  • After completing insurance:
    • Proceed to the next stage as per system flow (e.g., RTO and Delivery or further processing)
