Creating a Campaign in GainDMS Step by Step guide

Overview

Marketing campaigns are one of the most important activities carried out by automobile dealerships to attract potential customers. These campaigns may include events such as vehicle display events, mall promotions, newspaper advertisements, roadshows, expos, digital campaigns, or any other promotional activity conducted to generate customer interest.

In GainDMS, every marketing activity can be recorded as a Campaign. Once a campaign is created, all customer enquiries (Leads) generated from that campaign can be linked to it. This enables the dealership to measure campaign performance, track lead generation, and analyze marketing effectiveness.

This article explains how to create a Campaign in GainDMS.

Navigation

To create a new campaign, follow the navigation path below:

Pre-Sales → Marketing → Campaigns

The system opens the Campaign Worksheet, where all previously created campaigns are displayed.

To create a new campaign, click the (+) Add icon available on the worksheet.

The Campaign Creation screen will open.



Creating a Campaign

The Campaign Creation screen contains various fields that define the campaign details. Complete the information as explained below.

Category

The Category defines the classification of the campaign.

By default, the category is selected as Independent. If required, choose another category based on your organization's business process.


Campaign Type

Select the type of marketing activity being conducted.

Some commonly used campaign types include:

  • Display Event

  • Expo

  • Newspaper Advertisement

  • Roadshow

  • Road Trip

Choose the option that best represents the campaign being organized.


Branch

Select the dealership branch that is responsible for organizing the campaign.

This helps identify which branch owns and manages the campaign.


Campaign Code / Campaign Name

Enter a meaningful name for the campaign.

For example:

Mall Event

It is recommended to use a name that clearly identifies the campaign so that it can be easily searched and reported later.


Start Date and End Date

Specify the duration during which the campaign will remain active.

The Start Date indicates when the campaign begins, while the End Date represents the campaign's completion date.

Important: Leads can be associated with the campaign only during its active period. Any lead created outside the campaign duration cannot be linked to that campaign.


Description

Provide a brief description of the campaign.

This information helps users understand the objective or purpose of the campaign and serves as a useful reference for future reporting.


Responsibility

Select the employee who will be responsible for managing the campaign.

The assigned person becomes the point of contact for monitoring campaign activities and overall execution.


Budget

Every campaign must be linked to a valid marketing budget.

While selecting the budget, ensure the following:

  • The budget is active.

  • The budget validity period covers the campaign Start Date and End Date.

  • Sufficient balance is available in the selected budget.

Note: A campaign cannot be created without linking a valid budget.


Campaign Cost

Enter the estimated or approved cost of conducting the campaign.

This amount will be utilized from the selected marketing budget.


Saving the Campaign

After completing all the required information:

  1. Review the entered details.

  2. Click Save.

If all mandatory information is valid, the system displays a Successfully Updated message.

The newly created campaign will then appear in the Campaign Worksheet, making it available for linking customer leads generated through that marketing activity.


Business Example

Suppose a dealership organizes a Weekend Vehicle Display Event at a shopping mall.

The marketing team first creates a campaign named Mall Event in GainDMS and specifies:

  • Campaign Type as Display Event

  • Branch conducting the event

  • Campaign duration

  • Responsible employee

  • Marketing budget

  • Campaign cost

During the event, whenever a visitor shows interest in purchasing a vehicle, the sales executive creates a lead and selects Mall Event as the lead source. This allows the dealership to track how many enquiries, test drives, bookings, and vehicle sales were generated from that specific campaign.

  • Every marketing activity should be created as a Campaign before generating leads.

  • Leads can only be linked during the campaign's active period.

  • A valid and active budget is mandatory for campaign creation.

  • Ensure sufficient budget balance is available before creating the campaign.

  • Use meaningful campaign names for easy identification and reporting.
