Introduction

This document explains the step-by-step process for performing a Lead Bulk Transfer in DMS.

The Lead Bulk Transfer functionality enables dealerships to transfer multiple enquiries from one salesperson to another in a single action. This process helps manage workload distribution, employee transitions, branch reallocations, and lead ownership changes efficiently.

This guide covers:

  1. Accessing Bulk Transfer

  4. Assigning enquiries to a new salesperson

Section 1: Navigate to Lead Management

Step 1: Open My Leads

  1. Login to DMS.
  2. Click Pre-Sales.
  3. Select My Leads.

You will be redirected to the Enquiry Worksheet, where all open enquiries are displayed.



Section 2: Open Bulk Transfer Screen

Within the Enquiry Worksheet:

  1. Click Quick Link
  2. Select Inquiry Bulk Transfer

The system opens the Inquiry Bulk Transfer Worksheet.



Section 3: Filter Enquiries for Transfer

The Bulk Transfer screen provides multiple filter options to identify specific enquiries.

Use one or more filters as required.


Available Filters

Inquiry Date Range

Specify:

  • Inquiry Created From Date
  • Inquiry Created To Date

This helps identify enquiries created during a specific period.



Branch

Select the branch from which enquiries should be transferred.


Salesperson / Executive

Select the current salesperson whose enquiries need reassignment.

This filter displays enquiries currently assigned to the selected executive.


City

Filter enquiries based on customer city.


Product

Filter by customer product interest.


Model

Filter by vehicle model.


Data Source

Filter based on enquiry source.

Examples:

  • Walk-In
  • Campaign
  • Referral
  • Events

Campaign

Filter enquiries associated with specific campaigns.


Section 4: Search and Load Enquiries

After selecting required criteria:

Click Search

The system displays all enquiries matching the selected filters.

Example:

Selecting an executive displays all enquiries assigned to that executive.



Section 5: Select New Assignee

Locate:

Assigned To

This field specifies the salesperson who will receive the enquiries.

Select the new executive.

Example:

Kumar

All selected enquiries will now move under the new salesperson.



Section 6: Select Enquiries for Transfer

From the enquiry list:

  1. Select the enquiries that need reassignment
  2. Use checkboxes to select one or multiple records

Example:

Select:

  • Inquiry 1
  • Inquiry 2
  • Inquiry 3
  • Inquiry 4

Multiple enquiries can be transferred simultaneously.



Section 7: Transfer Enquiries

After selecting enquiries:

Click:

Transfer

The system transfers all selected enquiries to the new salesperson.



System Behaviour After Transfer

Once transfer is completed:

  • Lead ownership changes immediately
  • Enquiries move under the selected executive
  • Follow-up responsibilities transfer to the new owner
  • Lead visibility updates accordingly


Section 8: Verify Transfer

To confirm successful transfer:

  1. Remove existing filters if required
  2. Search using the new salesperson name

The transferred enquiries should now appear under the newly assigned executive.

Previously transferred enquiries should now be visible.

Bulk transfer is commonly used when:

  • Sales executive leaves the organization
  • Territory reassignment occurs

Process Flow Summary

Pre-Sales → My Leads → Quick Link → Inquiry Bulk Transfer → Apply Filters → Search Enquiries → Select Assigned To → Select Leads → Transfer
