Enquiry Worksheet – Step-by-Step Guide

Overview

The Enquiry Worksheet in Gain DMS serves as the central workspace for managing and tracking all lead activities. It provides visibility into open enquiries, follow-up schedules, lead statuses, quick actions, filters, and performance indicators. Users can directly perform actions such as follow-up updates, Test Ride booking, quotation creation, booking creation, and lead status updates from the worksheet itself.

Pre-Sales → My Leads


Steps to Access Enquiry Worksheet

Step 1: Navigate to My Leads

  • Login to Gain DMS.
  • Click on Pre-Sales.
  • Select My Leads.


Step 2: View the Enquiry Worksheet

You will arrive at the Inquiry Worksheet screen.

By default, the worksheet displays all Open Leads along with:

  • Lead Creation Date
  • Next Follow-up Date
  • Lead Name
  • Contact Number
  • Lead Status

This provides a quick overview of all active enquiries.



Quick Actions Available in Enquiry Worksheet

The worksheet provides shortcut actions that allow users to perform activities directly without opening the enquiry details screen.


Follow-up Action

Step 1:

Click the Follow-up icon beside the respective lead.

Step 2:

Enter follow-up information:

  • Follow-up details
  • Call information
  • Remarks
  • Next action details

Step 3:

Click Save

The follow-up will be updated successfully.




Test Ride Action

Step 1:

Click the Test Ride icon

System behavior:

  • If Test Ride is not booked:
    • Opens Test Ride Booking Screen
  • If Test Ride is already booked:
    • Opens Take Test Ride Screen


Set Inquiry as Lost

Step 1:

Click the Cross icon

Step 2:

Provide:

  • Lost Reason
  • Lost Remark

Step 3:

Click Save

The enquiry status will be updated as Lost.



Raise Quotation

Step 1:

Click the Quotation icon

Step 2:

The system redirects to the Quotation Screen

You can proceed with quotation creation.



Booking Creation

Step 1:

Click the Booking icon

Step 2:

The system redirects directly to the booking screen.


More Section

Clicking More provides additional information such as:

  • Lead Owner / Person in Charge
  • Next Step
  • Call Plan
  • Follow-up Remark

This section provides a quick summary of lead progress.


Test Ride Status Indicators

The Test Ride icon color indicates current Test Ride status:

ColorMeaning
RedTest Ride expired or not given
YellowTest Ride booked but not yet provided
GreenTest Ride completed

Quotation Status Indicators

Quotation icons indicate quotation status:

ColorMeaning
GrayQuotation not raised
RedQuotation expired
GreenQuotation available

Lead Badge Indicators

Badges shown beside lead names indicate lead conditions.

Badge ColorMeaning
RedFollow-up lapsed or due today
GreenLead booked
GrayLead marked as Lost
BlackNext follow-up date is in the future

Worksheet Filters

The worksheet allows users to quickly filter specific lead categories.

Available filters include:

  • Quotation Raised
  • Quotation Not Raised
  • Lost Inquiry
  • Closed Inquiry
  • Starred Leads



Mark Leads as Favorite

Users can prioritize important enquiries.

Step 1:

Click the Star icon beside a lead.

Step 2:

The lead becomes a Starred Lead

Step 3:

Use the Starred Filter to display favorite leads.


Important Dashboard Buttons

Lapsed Follow-up

Displays:

  • Leads where follow-up activity was due but not completed.

Purpose:

Helps identify pending activities.


Today's Follow-up Due

Displays:

  • Number of follow-ups scheduled for today.

Purpose:

Helps executives manage daily follow-up planning.


Today's Leads

Displays:

  • Total enquiries created today.

Purpose:

Provides daily lead generation visibility.


Additional Filters

Click the Filter option to access advanced search capabilities.

Available filters include:

Search By:

  • Name
  • Executive
  • Follow-up Date
  • Inquiry Date
  • Close Date
  • Lost Date
  • Data Source
  • Status
  • Product
  • Model

Users can combine filters for precise enquiry searches.



Important Note

Ideally, the Lapsed Follow-up list should remain empty. A record in this section indicates that scheduled follow-up activities were missed and require attention.
