How to create a vehicle sale booking in Gain DMS: A Step-by-Step Guide
In a typical automobile dealership, the vehicle sales process begins the moment a customer decides to book a vehicle. At this stage, capturing accurate customer and booking details in the DMS system becomes critical, as it sets the foundation for all further activities such as payment collection, vehicle allocation, and invoicing.
Gain DMS Booking creation Tutorial Video
π§ Step 1: Navigate to
Vehicle Sales Screen
- Go to Sales
- Click on Vehicle Sales
- You will land on the Product Sales Worksheet
β Step 2: Create a New Booking
- Click on the β+β (Add New) button
- A Booking Entry Form will open
π§Ύ Step 3: Fill Customer
& Basic Details
- Enter Customer Name
- Select/Enter Sales Executive Name
β οΈ Important:
- Fields marked with a Red Asterisk (*) are mandatory
- You cannot save the booking without filling these
π Step 4: Enter ID Proof
Details (Optional)
- If customer provides:
- PAN Card
- Aadhaar Card
π Enter and upload
details now if the documents are available
π
else If not available, you can update later.
π Step 5: Select Vehicle
Details
- Choose Preferred Product (Vehicle Model)
- Select Color
π‘ Important Tip:
- Use Keyboard (Up/Down Arrow + Enter) to select options
- Avoid using the mouse for selection in these fields.
π° Step 6: Enter Finance
Details
- Select Payment Type:
- Finance
- Full Cash
- If Finance:
- Select Financier Name
- Select Financier Branch
π Note:
- The selected Financier Name will appear in the invoice for hypothecation
π‘οΈ Step 7: Select RTO
& Insurance Preferences
Choose based on customer requirement:
- RTO: By Dealer / Customer ( By Party)
- Insurance: By Dealer / Customer (By Party)
π€ Step 8: Enter Contact
Person Details
- Fill in the Contact Person Information

Step 9: Save the Booking
- Verify all entered details
- Click on Save.
π΅ Step 10: Booking Amount
Entry
- After saving, system will automatically redirect to the Receipt Screen
- Enter the Booking Amount
π Step 11: View Booking
in Worksheet
- Go back to Vehicle Sales Worksheet
- The newly created booking will be visible there
π Online Booking
Identification
- Some bookings may come directly from the website
- These will automatically appear in the worksheet
π How to identify:
- Check the Data Source field
- If it shows βOnlineβ, it means booking came from website
