How to deliver a vehicle for the respective sale booking in Gain DMS: A Step-by-Step Guide

In dealership operations, vehicle delivery is the final and most visible step of the sales process, where the customer officially takes possession of the vehicle. Ensuring all formalities are completed at this stage is critical to delivering a smooth and satisfactory customer experience.

🧭 Step 1: Navigate to Vehicle Sales

  1. Go to Sales
  2. Click on Vehicle Sales
  3. You will reach the Product Sales Worksheet

 

🔍 Step 2: Open Delivery Screen

You can access the delivery stage in two ways:

Option 1:

  • Click on “Deliver” link against the booking



Option 2:

  1. Click on the Sale Code / Booking Number
  2. You will reach the Customer Centre Screen
  3. System will suggest next action as Delivering Vehicle
  4. Click on it


 

🧾 Step 3: Open Product Delivery Screen

  • After clicking Delivering Vehicle, you will land on the Product Delivery Screen

 

 

📊 Step 4: Review Booking Details

  • You can view:
    • Booking Information
    • Pricing Details

📄 Step 5: Upload Self-Declaration Document

  1. Download the Self-Declaration Format
  2. Get it filled/signed by the customer
  3. Upload the Self-Declaration Letter

✍️ Step 6: Enter Delivery Details

1. Delivery Date

  • Auto-filled as current date
  • Modify if required

2. Delivered By

  • Enter the name of the person delivering the vehicle

3. Delivery Remarks

  • Add any important notes regarding delivery

4. Odometer Reading

  • Enter the vehicle odometer reading at the time of delivery

🚘 Step 7: Verify Registration Details

  • Registration details will be auto-loaded
  • Confirm accuracy before proceeding

✅ Step 8: Save Delivery

  1. Verify all entered details
  2. Click on Save

 

📄 Step 9: Generate Delivery Gate Pass

  • After saving:
    • Delivery is marked as completed
    • You can print Delivery Gate Pass from Customer Centre Screen

🔚 Step 10: Process Completion

  • After delivery:
    • System shows No Further Action Required

👉 This indicates the
end of the vehicle sales process
