The Service Job Card Cancellation process in Gain DMS is used when a job card has been created incorrectly, opened by mistake, or no longer needs to be processed. Cancelling a job card ensures that invalid or unnecessary service records are removed from the active workshop workflow.

This process can only be performed when the job card is in Open Status. Job cards that are already Billed or Closed cannot be cancelled.

Step-by-Step Process to Cancel a Service Job Card

Step 1: Open Service Job Card Worksheet

  • Login to Gain DMS
  • Navigate to:

Workshop → Service Job Cards


Step 2: Access the Open Job Card List

  • The Service Job Card Worksheet screen will display all currently open job cards.
  • Locate the job card that needs to be cancelled.

Important Note

Only job cards in Open Status can be cancelled.

You cannot cancel:

  • Closed Job Cards
  • Billed Job Cards




Step 3: Click on Action

  • Against the respective job card, click on the Action button.




Step 4: Select Cancel Option

  • From the available options, click on:

Step 5: Review Job Card Information

The system will display the following details for verification:

  • Job Card Number
  • Customer Name
  • Service Type
  • Product / Vehicle Details
  • Registration Number
  • Job Card Date

Verify the details before proceeding.


Step 6: Enter Cancellation Reason

  • Select or enter the appropriate Reason for Cancellation.

  • Opened by Mistake
  • Customer Declined Service
  • Wrong Vehicle Selected




Step 7: Verify Cancellation Conditions

Before cancelling the job card, ensure the following conditions are satisfied:

Condition 1 – No Spare Parts Issued

If spare parts are already issued against the job card:

  • The job card cannot be cancelled
  • All issued parts must first be returned to stock

Condition 2 – No Warranty Request Raised

If:

  • Warranty Prior Approval
  • Goodwill Warranty Request

is already raised for the job card, cancellation will not be allowed.


Important System Validation

The system prevents cancellation if:

  • Spare items are pending in the job card
  • Warranty claims are linked
  • The job card is already billed or closed
