How to raise Lead Quotation in Gain DMS: A Step-by-Step Guide

This document explains the step-by-step process for raising quotation for a lead in DMS.

Introduction

The Lead Quotation feature in Gain DMS allows dealership users to create and provide quotations for prospective customers based on their preferred product, finance option, insurance selection, registration type, and applicable schemes. The generated quotation helps provide an estimated on-road price and can be printed or shared with customers for further discussion and conversion.


Prerequisites

Before creating a quotation, ensure:

  • A lead has already been created in the system.
  • Customer information is available.
  • Product and pricing information are configured.
  • Applicable schemes and service charges are available in the system.

Steps to Create a Lead Quotation

Step 1: Navigate to My Leads

  1. Login to Gain DMS.
  2. Go to Pre-Sales.
  3. Click My Leads.

The Inquiry Worksheet screen opens and displays all active/open leads.



Step 2: Open the Required Lead

  1. Search or locate the required lead.
  2. Click the Lead Name.

The system opens the Inquiry Details Screen containing customer and inquiry information.



Step 3: Open Quotation Screen

  1. In the Inquiry Details screen, click Quotation.

You will be redirected to the Product Quotation Screen.


Step 4: Select Product Information

Provide the quotation details:

  • Select the Product
  • Product pricing loads automatically
  • Select Vehicle Color



Step 5: Select Registration Type

Choose the RTO Type:

  • Permanent Registration
  • Temporary Registration

Select according to customer requirements.



Step 6: Select Finance Option

Choose the finance preference:

  • Full Cash
  • Dealer Finance
  • Self Finance

Select the option chosen by the customer.



Step 7: Select Insurance Type

Choose the insurance option:

  • Insurance by Dealer
  • Insurance by Customer


Step 8: Select Place of Supply

Choose the Place of Supply.

Important:
The selected location determines the applicable tax structure:

  • IGST
  • CGST/SGST

Tax calculations are updated accordingly.



Step 9: Add Quotation

After completing all required selections:

  1. Click Add

The quotation will now be created and displayed on the screen.



Managing Additional Services

The quotation can include additional service components required to calculate the complete on-road price. 

Step 10: Add/Edit Services

Click Add or Edit Services

Examples include:

  • RSA
  • Insurance
  • Handling Charges
  • RTO Charges
  • CRTM/Temporary Registration Charges
  • HPA Charges
  • Extended Warranty
  • AMC


Step 11: Modify Service Pricing

  • Certain service charges are editable.
  • Some system-defined services cannot be modified.

After making changes:

  1. Click Save


Applying Promotional Schemes

Step 12: Add Applicable Scheme

  1. Click Add Scheme
  2. Review available schemes
  3. Select required scheme(s)
  4. Click Add Selected

The selected scheme will be attached to the quotation.

Note:
Added schemes can be removed and re-added if needed.



Printing the Quotation

Step 13: Print the Quotation

  1. Click the Print button.

The system generates a printable quotation document.

Users can:

  • Download the quotation
  • Print a hard copy
  • Share with the customer



Previous Quotations

All the raised quotations for the respective customers will be visible in the Previous quotations list. 

You can take below actions against each quotation.
1. Create Duplicate
2. Cancel Quotation
3. Email Quotation
4. Approve Quotation
5. Edit Quotation.


Important Notes

  • Product pricing is loaded automatically after product selection.
  • Place of Supply impacts GST calculations.
  • Not all service charges are editable.
  • Multiple schemes may be available depending on promotions.
  • Quotations remain available within the lead for future reference.
  • Printed quotations can be shared directly with customers.

Result

The quotation is successfully created and linked to the lead. Users can review, modify, print, and use it as part of the sales conversion process.
