Vehicle Sales Worksheet – Step-by-Step Guide

This article explains the functionality and usage of the Vehicle Sales Worksheet in Gain DMS.

Overview

 The worksheet acts as a centralized screen that displays all open bookings and provides users with quick visibility into booking information, sales stages, filters, and actions. It helps users monitor booking progress and manage vehicle sales efficiently.


Steps to Access Vehicle Sales Worksheet

Step 1: Navigate to Vehicle Sales

  1. Login to Gain DMS.
  2. Click on Sales.
  3. Select Vehicle Sales.

You will arrive at the Vehicle Sales Worksheet screen.




Understanding the Vehicle Sales Worksheet

The worksheet displays all Open Bookings and provides important information related to each booking.

Information available includes:

  • Sale Code
  • Customer Name
  • Phone Number
  • Variant
  • Created Date
  • Last Contacted Date
  • Current Stage of Booking
  • Booking Source

This allows users to quickly understand the status and progress of each booking.




Booking Source Information

The worksheet identifies how the booking was created.

Possible sources include:

  • Walk In – Booking created directly at the dealership after receiving booking amount.
  • Online – Booking received through online channels.
  • Other configured booking sources that directly create bookings in DMS.

The source information helps track where bookings originate.


Viewing Booking Status

The Status section helps users view bookings based on their stage.

By default:

  • Status displays Open Bookings

Users can also switch and view other statuses such as:

  • Delivered cases
  • Other configured statuses

This allows quick segregation of bookings based on their current state.


Quick Group Summary

The worksheet displays quick booking groups showing booking counts based on pending activities.

Examples:

  • Allotment Due
  • Approval Due
  • Invoice Due
  • Delivered Due

Each count represents the number of bookings currently pending under that stage.

To view booking details:

  1. Click on the required category.

The system displays the list of bookings associated with that stage.


Search Functionality

The worksheet provides a quick search option.

Users can search bookings using:

  • Customer Name
  • Product
  • Sale Code

Steps:

  1. Enter the required search value.
  2. Click Search.

The system filters and displays matching bookings.


Additional Filter Options

Additional filters are available for more refined searches.

Available filters include:

  • From Date
  • To Date
  • Color
  • Phone Number
  • Other available criteria

Steps:

  1. Click on Additional Filters
  2. Specify required filter criteria
  3. Apply filters

The worksheet displays filtered booking results.




Creating a New Booking

If a new booking needs to be created:

  1. Click on the Plus (+) button.

The booking creation screen opens, allowing users to create a new vehicle booking.



Viewing Special Requests

If a customer has provided any special request during booking:

  • A small red indicator appears against the booking.

To view details:

  1. Hover the mouse over the indicator.

The system displays the special request information.


Important Notes

  • The worksheet displays only Open Bookings by default.
  • Quick group counts provide visibility into pending booking stages.
  • Search and filters can be used together for easier tracking.
  • Special requests are indicated through a red icon.
  • The Plus (+) option allows creation of new bookings.
