How to set a Test Ride / Display Stock Setup in Gain DMS: A Step-by-Step Guide

This document explains the step-by-step process for assigning a vehicle as Test Ride Stock or Display Stock in DMS.

Introduction

The Test Ride and Display Stock functionality helps dealerships reserve specific vehicles for showroom display purposes or customer test rides. Vehicles assigned under these categories become operational inventory and can be managed separately from regular sale inventory.

This guide covers:

  1. Accessing Test Ride Vehicle setup
  2. Assigning vehicles from stock or dealer-owned vehicles
  3. Configuring Test Ride or Display stock
  4. Understanding stock eligibility rules
  5. Removing vehicles from assigned stock

Section 1: Navigate to Test Ride Vehicle Setup

Step 1: Open My Leads

  1. Login to DMS.
  2. Click Pre-Sales
  3. Select My Leads

You will be redirected to the Inquiry Worksheet where all active leads are displayed.



Step 2: Access Test Ride Vehicle Option

Within the Inquiry Worksheet:

  1. Click Quick Link
  2. Select Test Ride Vehicle

The system opens the Test Ride / Display Vehicle Management Screen.



Section 2: Configure Vehicle Assignment

This screen allows vehicles to be assigned as:

  • Test Ride Vehicle
  • Display Vehicle

Users can add vehicles using two available methods:

  1. Vehicle from Stock
  2. Dealer-Owned Vehicle


Option 1: Add Vehicle From Stock

Select:

From Stock

This option allows selection of vehicles available in dealership inventory.



Step 1: Select Vehicle Type

Choose one:

  • Test Ride Vehicle
  • Display Vehicle

Example:

Select:

Test Ride Vehicle



Step 2: Select Chassis Number

Choose the chassis that should be assigned.

The selected vehicle will now be reserved for the chosen purpose.



Important Eligibility Rule

For a chassis to appear in the available vehicle list:

The following conditions must be completed:

✔ Vehicle inward completed
✔ Vehicle available in stock
✔ PDI completed and marked as Done

Only after completing these activities will the chassis become available for selection.



Option 2: Add Dealer-Owned Vehicle

Instead of selecting a stock vehicle, dealerships may use a dealer-owned vehicle.

Select:

Owned by Dealer

Update the following information:

  • Product
  • Registration Number

This option allows external or dealer-owned vehicles to be used for test rides or display purposes.



Section 3: Save Vehicle Assignment

After selecting vehicle details:

Click:

Save

The system assigns the vehicle to the selected category.


System Behaviour After Saving

If:

Test Ride Vehicle selected

Vehicle appears under:

Test Ride Vehicle List

If:

Display Vehicle selected

Vehicle appears under:

Display Vehicle List


Section 4: View Assigned Vehicles

All assigned vehicles are displayed under their respective sections.

Users can review:

  • Chassis information
  • Vehicle details
  • Current assignment category


Section 5: Remove Vehicle from Test Ride / Display Stock

Vehicles can be removed whenever required.


Step 1: Select Vehicle

Locate the assigned vehicle.

Check/select the required record.


Step 2: Release Vehicle

Click:

Release

The selected vehicle is removed from Test Ride or Display stock.



System Behaviour After Release

Once released:

  • Vehicle no longer appears in the assigned list
  • Vehicle becomes available for regular operational use and for retailing. 
  • Stock status updates accordingly

Common Business Use Cases

Test Ride Stock:

  • Customer test rides
  • Demonstration rides
  • Promotional activities

Display Stock:

  • Showroom display
  • Product showcasing
  • Exhibition usage

Process Flow Summary

Pre-Sales → My Leads → Quick Link → Test Ride Vehicle → Select Source → Choose Test Ride/Display Type → Select Chassis → Save

To Remove:

Select Vehicle → Release


Completion

You have successfully completed the Test Ride / Display Stock setup process in DMS. This functionality helps dealerships efficiently manage demonstration and showroom vehicles while maintaining clear inventory visibility.
