How to give a Test ride and Test ride Feedback in Gain DMS: A Step-by-Step Guide

This document explains the step-by-step process for providing test ride and capturing test ride feedback in DMS.

Overview

The Test Ride functionality in Gain DMS allows dealership users to provide a test ride to a lead and capture the customer’s feedback after the ride. The process includes validating customer details, recording required documents, assigning a test ride vehicle, and collecting post-test ride feedback. A test ride is considered complete only after feedback is submitted.


Prerequisites

Before providing a test ride, ensure:

  • The lead is already created in the system.
  • A test ride booking exists (if applicable) - Not mandatory
  • Test ride vehicles are available in the system.
  • Required customer details and supporting documents are available.

Steps to Provide a Test Ride

Step 1: Navigate to My Leads

  1. Login to Gain DMS.
  2. Click Pre-Sales.
  3. Click My Leads.

The Enquiry Worksheet screen opens and displays open leads.



Step 2: Open the Required Lead

  1. Locate the lead for whom the test ride must be provided.
  2. Click on the Lead Name.

The system opens the Enquiry Details Screen.



Step 3: Open Test Ride Section

  1. Locate the Test Ride Status section.
  2. Click Take Test Ride.

You will be redirected to the Test Ride Taking Screen.



Step 4: Review Existing Test Ride Booking

The screen displays:

  • Customer Name
  • Opportunity Number
  • Existing Test Ride Bookings (if available)

If an existing booking is present:

  1. Click Take Test Ride

Step 5: Enter Test Ride Details

Update the required information:

  • Driving License Number
  • Upload Driving License File
  • Upload Indemnity Form
  • Date of Birth
  • Test Ride Vehicle

System populated fields:

  • Test Ride Date → Current Date by default
  • Test Ride Given By → Current logged-in user

Optional fields:

  • Emergency Name
  • Emergency Contact
  • Medical History


Step 6: Download and Sign Declaration Form

Before providing the test ride:

  1. Download the declaration form using the available download option.
  2. Obtain customer signature on the declaration form.

This step ensures customer acknowledgment before proceeding with the test ride.



Step 7: Save Test Ride

Once all information is updated:

  1. Click Save Test Ride

The system automatically redirects to the Test Ride Feedback Screen.



Test Ride Feedback Process

Important

A test ride is not considered complete until feedback is submitted.

If feedback is skipped and the screen is closed:


  • Opening the same lead again automatically redirects to the Test Ride Feedback Screen




Step 8: Fill Test Ride Feedback Information

Provide the following details:

  • Test Ride Duration
  • Distance Covered
  • Riding Condition
  • Test Ride Summary

Enter the customer’s observations and feedback accurately. Without completing the test ride feedback the test ride is not considered as complete.


Step 9: Update Sales Progress Information

Provide:

  • Next Follow-up Date
  • Expected Purchase Time
  • Status
  • Step to Sale

These fields help track customer progress and future engagement.


Step 10: Save Feedback

  1. Click Save Feedback

Once saved:

  • Test Ride process is considered completed.
  • Feedback information is stored in the system.


Post Completion

After saving:

  1. Close the screen.
  2. Return to Enquiry Worksheet.

You will notice:

  • The lead remains available.
  • The Test Ride icon changes to Green, indicating successful completion.

Important Notes

  • Existing test ride bookings automatically appear on the Test Ride Taking Screen.
  • Test Ride Date and Test Ride Given By are auto-populated.
  • Emergency and medical information is optional.
  • Customer declaration should be signed before providing the test ride.
  • Feedback submission is mandatory.
  • Without feedback submission, the test ride remains incomplete.
  • Completed test rides are visually identified using a green indicator.

Result

The test ride has been successfully conducted and customer feedback has been recorded. The lead is now updated with completed test ride information and can proceed to further sales activities.
