How to add a RTO Information in sale booking in Gain DMS: A Step-by-Step Guide

In vehicle sales, registration with the Regional Transport Office (RTO) is a mandatory legal step before handing over the vehicle to the customer. Accurately updating these registration details ensures the vehicle is authorized for road use and compliant with regulations.

🧭 Step 1: Navigate to Vehicle Sales

  1. Go to Sales
  2. Click on Vehicle Sales
  3. You will reach the Product Sales Worksheet

 

🔍 Step 2: Open RTO Screen

You can access the registration stage in two ways:

Option 1:

  • Click on “RTO” link against the booking

 

Option 2:

  1. Click on the Sale Code / Booking Number
  2. You will reach the Customer Centre Screen
  3. System will suggest next action as RTO
  4. Click on it.

 

 

🧾 Step 3: Open Product Registration Screen

  • After clicking RTO, you will land on the Product Registration Screen

 


 

📊 Step 4: Review Existing Details

  • RTO-related preferences selected during booking stage will be visible here in RTO screen.

 

✍️ Step 5: Enter Registration Details

1. Registration Type

  • Select:
    • Temporary Registration OR
    • Permanent Registration.


2. RTO Location

  • Select the RTO Office where the vehicle is being registered.

3. Vehicle Registration Number

  • Enter the Vehicle Registration Number (if available).

4. HSRP Number Plate Details (Optional)

  • Enter HSRP (High Security Registration Plate) Unique Code
  • This field is not mandatory

✅ Step 6: Save Registration Details

  1. Verify all entered information
  2. Click on Save

 

📊 Step 7: System Update

  • After saving:
    • RTO stage is marked as completed
    • Registration details are linked to the sale

🔄 Step 8: Next Action

  • After RTO update:
    • System suggests next step → Vehicle Delivery

    • RTO location
    • Registration number
    • (Optional) HSRP details

  • Proceed to Vehicle Delivery
