Step-by-Step Process to Add Labour to a Job Card

Step 1: Open Service Job card Worksheet

  • Click on Workshop
  • Click on Service Job card

The system will open the Job card Worksheet, where all open Job Cards are displayed.




Step 2: Select the Required Job card

  • Locate the required Job card
  • Click on Action
  • Click on Labour

The system will open the Service Job Labour Screen.




Understanding the Service Job Labour Screen

The Service Job Labour Screen is used to:

  • Assign technicians
  • Add labour operations
  • Define job types
  • Track repair timings
  • Manage labour charges

All labour operations added to the Job Card will be displayed in this screen.




Step 3: Select Technician Name

Update the:

  • Technician Name

This defines which technician is responsible for performing the labour operation.

Proper technician allocation helps in:

  • Workshop workload management
  • Technician productivity tracking
  • Service accountability


Step 4: Update Job Start Time

Enter the:

  • Job Start Time

This represents the actual time when the repair or service activity started.




Step 5: Update Job End Time

Enter the:

  • Job End Time

This represents the actual completion time of the labour operation.

  • Monitor turnaround time

Step 6: Add Labour Description

Select the required:

  • Labour Description

The Labour Description represents the actual service or repair operation being performed.

Once selected, the labour operation gets added to the Job Card.



Step 7: Verify Labour Added in List

After adding the labour:

  • The labour operation will display in the labour list section

The list shows all labour operations currently added to the Job Card.




Step 8: Add Multiple Labour Operations (If Required)

The system allows:

  • Multiple labour operations in a single Job Card

Example:

A single vehicle may require:

  • Paid Service
  • Brake Repair
  • Electrical Diagnosis
  • Washing

All these labour operations can be added separately.



Editing or Deleting Labour

Once labour is added:

  • The labour entry can be edited
  • The labour entry can also be deleted

This helps correct mistakes or update repair activities during service execution.




Auto Loading of Labour Operations

The system may automatically load labour operations in certain scenarios.


Scenario 1: Vehicle Recall

If the vehicle has:

  • Recall Campaign
  • Field Fix activity

Then the related labour operations may automatically appear in the labour screen.


Scenario 2: Estimate Conversion

If the Job Card is converted from an Estimate:

  • Previously added labour operations from the estimate will automatically load into the Job Card

This avoids duplicate manual entry.

Scenario 3: Periodic maintenance Labour 

If the respective vehicle is reporting at the service station for any periodic maintenance Job. Than the DMS system understands (as per master definitions) what labour needs to be issued in the job card.
  1. The respective labour will auto populate in the service job labour issue screen.
This avoids mistakes created by users and enforces all the service stations Pan India to issue standard set of labour for the respective periodic maintenance.

Scenario 4: Warranty Labour 

If the respective labour is added in the warranty prior and if the warranty prior labour has been approved than in the labour issue screen automatically the approved labour would be issued after confirming to issue in the warranty prior screen.

Scenario 5: AMC Labour 

If the respective vehicle is covered under AMC than based on the AMC master definition the labour issue screen would display the autosuggestion of a labours. The user has to issue the respective labour in the job card based on the masters definition.

Additional Options Using Three Dots Menu

When you click on the Three Dots option against a labour entry, additional actions are available.


Option 1: Add Discount

Allows the workshop to:

  • Provide labour discount
  • Adjust labour pricing

Discounts may be provided for:

  • Customer goodwill
  • Campaign offers
  • Service promotions

Option 2: Add Second Technician

Allows assignment of:

  • Additional technician support

Job Type defines the nature of work being performed in the Job Card.





Job types in which the labour can be issued in a job card

The list of job type are mentioned below.

Job typeExplanation
PaidIf the jobs are done under paid than while issuing the labour, the job type needs to be selected as paid and the bill will be generated under customer name.
River WarrantyIf the jobs are done under standard warranty than while issuing the labour the job type needs to be selected as River Warranty. But the Labour cannot be issued in the job card spare issue screen directly. First it has to be added in warranty prior and than only after approval the labour can be added in the screen. later while billing the warranty statement will be generated for the respective labour.
Bill in InsuranceIf the jobs are done under Insurance than Bill on insurance needs to be selected. The respective Labour will reflect in insurance bill and the bill will be generated under the insurance company which is selected at the time of job card opening.
Bill On SupplierIf the jobs are done for the press fleet vehicle than Bill on Supplier needs to be selected. The respective labour will reflect in Supplier bill and the bill will be generated under the manufacturer's name.
Extended WarrantyIf the jobs are done for the extended warranty case than the Extended warranty needs to be selected in Job type, and the bill will be generated under the manufacturer's name.
FOCIf the jobs are done under Free Of Cost for test ride vehicle or for normal customer (if the dealership is bearing the cost), than in job type select the FOC and the bill will be generated under the dealership name.
Parts WarrantyThis will not be applicable for labour issue cases.
Good Will WarrantyIf the jobs are done after the standard warranty period than while issuing the labour the job type needs to be selected as Good Will Warranty.  the labour can be issued in the job card labour issue screen directly. later while billing the warranty statement will be generated for the respective labour.
Field Fix WarrantyIf the jobs are done under recall than while issuing the labour the job type needs to be selected as Field Fix Warranty. The labour cannot be issued in the job card spare issue screen directly. Based on the masters definition the screen will auto load the labour in the labour issue screen. later while billing the warranty statement will be generated for the respective Labour.
