Updating the Bin Location of a Spare Part in GainDMS

Overview

In a dealership's spare parts warehouse, every spare part is stored in a designated physical location known as a Bin. A bin represents a shelf, rack, drawer, or storage location that helps warehouse personnel quickly locate and issue spare parts during daily operations.

As inventory grows, spare parts may be relocated due to warehouse reorganization, space optimization, or operational requirements. Whenever the physical storage location of a spare part changes, the corresponding bin location in GainDMS should also be updated to ensure that the system accurately reflects the actual warehouse arrangement.

GainDMS provides the Bin Correction feature, allowing users to modify the storage location of a spare part without affecting its inventory quantity.

This article explains how to update the bin location of a spare part in GainDMS.

Business Scenario

A dealership initially stores a brake pad in the warehouse location PQ-02. During a warehouse rearrangement, the part is moved to PQ-03 to optimize storage space.

If the system still displays the old location, warehouse staff may spend unnecessary time searching for the spare part during billing or issue transactions.

Using the Bin Correction feature, the dealership updates the bin location in GainDMS so that the system reflects the new physical storage location.


What is a Bin?

A Bin is the physical storage location assigned to a spare part inside the dealership warehouse.

Instead of searching through the entire warehouse, users can simply refer to the bin location displayed in GainDMS to identify where the spare part is stored.

Maintaining accurate bin information helps improve:

  • Spare part identification

  • Picking accuracy

  • Faster counter sales and workshop issue processes

  • Warehouse organization

  • Inventory management efficiency


Understanding Service Bin and Counter Bin

GainDMS allows dealerships to maintain separate bin locations based on their business operations.

Service Bin

The Service Bin represents the storage location from which spare parts are primarily issued to the workshop during vehicle servicing and repair activities.

Counter Bin

The Counter Bin represents the storage location from which spare parts are issued directly to walk-in customers through the spare parts counter.

In many dealerships, both Service and Counter operations use the same storage location. In such cases, the same bin name can be assigned to both fields.

However, dealerships maintaining separate warehouse locations for workshop consumption and retail counter sales can assign different bin locations accordingly.


Navigation

To update the bin location of a spare part, follow the navigation path below:

PCA → Stock → Bin Correction

Note: In some dealership environments, the PCA menu may be displayed as Spares depending on the system configuration.

The Spare Parts Bin Correction screen will be displayed.


Selecting the Spare Part

Begin by selecting the appropriate Branch.

Next, search for and select the required Part Code whose bin location needs to be updated.

After selecting the part, click Show.

GainDMS retrieves the current bin information associated with the selected spare part.


Updating the Bin Location

Once the spare part details are displayed, update the required bin information.

The screen allows you to specify:

  • Service Bin

  • Counter Bin

  • Bin Stock Correction

Enter the new bin name that corresponds to the actual physical storage location of the spare part.

For example, if the spare part has been moved from PQ-02 to PQ-03, update the new bin location accordingly.

If both Service and Counter operations use the same storage location, the same bin name may be entered in both fields.

If separate storage locations are maintained, specify the appropriate bin name for each operation.


Saving the Changes

After updating the required bin details, save the transaction.

GainDMS immediately updates the bin information for the selected spare part.

The inventory quantity remains unchanged, as this process updates only the storage location and does not affect stock availability.


Verifying the Updated Bin

After saving the changes, perform a Spare Part Search within GainDMS.

The updated bin location will now be displayed against the respective spare part, confirming that the new storage location has been successfully recorded.

This enables warehouse staff and spare parts executives to locate the part accurately during future transactions.


Business Example

A dealership stores an engine oil filter in bin PQ-02. During warehouse restructuring, the inventory is shifted to a newly allocated rack identified as PQ-03.

The warehouse executive opens the Bin Correction screen, selects the relevant branch and part code, updates the Service Bin and Counter Bin to PQ-03, and saves the changes.

When the spare part is searched later in GainDMS, the updated bin location is displayed, allowing staff to retrieve the item quickly from its new storage position.


Best Practices

Bin information should always reflect the actual physical storage location of the spare part.

Whenever spare parts are relocated within the warehouse:

  • Update the corresponding bin location immediately.

  • Verify that the physical label on the storage rack matches the bin entered in GainDMS.

  • Use consistent bin naming conventions across the warehouse.

  • Periodically validate bin locations during physical stock verification.

Keeping bin information up to date significantly reduces searching time and improves warehouse efficiency.
