Managing Kit Parts (Explosion and Implosion) in Gain DMS

Overview

In the automobile industry, certain spare parts are stocked and sold as a Kit, where a single item consists of multiple individual components. Instead of maintaining stock for each component separately during procurement or sales, dealerships often manage them as a single kit for operational convenience.

For example, a Service Kit may contain an oil filter, gasket, O-ring, and drain washer. While the dealership may purchase or stock this as one item, there are situations where the individual components need to be managed separately.

Gain DMS provides the Kit Management feature to handle such scenarios through Explosion and Implosion.

  • Explosion converts one Kit Part into its individual child parts.

  • Implosion combines individual child parts back into a single Kit Part.

Before performing either operation, the relationship between the Kit Part and its individual components must be defined in the system.

This article explains how to configure a Kit Part and perform both Explosion and Implosion operations in Gain DMS.

Understanding Kit Parts

Before using the feature, it is important to understand the terminology used throughout the system.

A Mother Part represents the complete Kit that is maintained as a single inventory item.

A Child Part represents the individual components that together make up the Mother Part.

For example:

Mother Part (Kit)Child Parts
Periodic Service KitOil Filter, Air Filter, Drain Washer

The system maintains this relationship so that inventory can be automatically adjusted whenever a Kit is exploded or imploded.

Important: All Mother Parts and Child Parts must already exist in the Spare Parts Master before creating a Kit definition.


Defining a Kit Part

Before a Kit can be used, its structure must be defined in GainDMS.

Follow the navigation path below:

Settings → PCA Kit

The PCA Kit Worksheet displays all existing Kit definitions.

Each record represents a Mother Part and shows the number of Child Parts associated with it.

To create a new Kit definition, click the (+) Add icon.


Configuring the Kit

Begin by selecting the Mother Part, which represents the complete Kit.

Next, add each Child Part that belongs to the Kit.

For every Child Part, specify the quantity required within the Kit.

For example:

  • Oil Filter – Quantity 2

  • Gasket – Quantity 7

  • Drain Washer – Quantity 1

Continue adding all required Child Parts until the complete Kit structure is defined.

Once all components have been added, save the configuration.

The newly created Kit will now appear in the PCA Kit Worksheet, where the system displays the total number of Child Parts associated with the selected Mother Part.


Understanding Part Explosion

Part Explosion is used when a stocked Kit needs to be broken down into its individual spare parts.

During this process:

  • The stock quantity of the Mother Part decreases by 1 Qty.

  • The stock quantities of all Child Parts increase according to the quantities defined in the Kit configuration.

This process is commonly used when the dealership needs to issue or sell individual components instead of the complete Kit.


Performing Part Explosion

Follow the navigation path below:

PCA → Stock → PCA Explosion

The PCA Explosion Worksheet displays the history of all previously performed explosion transactions.

To create a new transaction, click the (+) Add icon.


Exploding the Kit

Select the required Mother Part.

The system displays the available stock of the selected Kit.

Click Show Child Item.

GainDMS automatically retrieves all Child Parts associated with the selected Mother Part along with:

  • Defined quantity of each Child Part

  • Current stock available for each Child Part

Enter the appropriate Reason for performing the explosion.

After verifying the details, click Explode.

The system immediately updates inventory by reducing the Mother Part stock and increasing the stock of all Child Parts according to the predefined Kit configuration.


Understanding Part Implosion

Part Implosion performs the exact opposite operation.

It is used when the individual Child Parts need to be combined and maintained as a single Kit.

During Implosion:

  • Child Part stock decreases.

  • Mother Part stock increases.

This process is generally performed when the dealership wants to recreate the complete Kit from individual spare parts available in inventory.


Performing Part Implosion

Follow the navigation path below:

PCA → Stock → PCA Implosion

The PCA Implosion Worksheet displays the history of all previous implosion transactions.

Click the (+) Add icon to create a new transaction.

Select the required Mother Part.

Click Show Child Item.

The system displays all Child Parts linked to the selected Kit along with their current stock availability.

Enter the appropriate Reason for performing the implosion.

After reviewing the details, click Implode.

GainDMS automatically updates inventory by reducing the Child Part quantities and increasing the stock quantity of the Mother Part.


Stock Validation

At any stage, the available stock of a Mother Part or Child Part can be verified using the stock enquiry option available within the module.

This helps users confirm that inventory has been updated correctly after performing either an Explosion or an Implosion transaction.


Issuing Mother Parts and Child Parts

GainDMS provides flexibility in issuing inventory during sales or service transactions.

A dealership is not restricted to issuing only the complete Kit or only the individual components.

Depending on the business requirement, users can issue:

  • Only the Mother Part (Complete Kit)

  • Only the Child Parts

  • Both the Mother Part and Child Parts within the same customer transaction

This flexibility ensures that dealerships can handle different operational scenarios without affecting inventory accuracy.


Business Example

A dealership receives a Periodic Service Kit containing one oil filter, one air filter, and one drain washer as a single inventory item.

Later, a technician requires only the oil filter and drain washer for a repair.

Instead of issuing the complete Kit, the spare parts executive performs a Part Explosion. GainDMS automatically reduces the stock of the Service Kit and increases the stock of the individual components, allowing the required parts to be issued separately.

At a later stage, if all the individual components are available again, the dealership can perform a Part Implosion to recreate the complete Service Kit. The system decreases the Child Part quantities and restores the stock of the Mother Part, ensuring inventory remains accurate.

  • A Kit consists of one Mother Part and one or more Child Parts.

  • All Mother Parts and Child Parts must exist in the Spare Parts Master before creating a Kit.

  • A Kit definition must be created before performing Explosion or Implosion.

  • Explosion decreases Mother Part stock and increases Child Part stock.

  • Implosion decreases Child Part stock and increases Mother Part stock.

  • Inventory is updated automatically based on the quantities defined in the Kit configuration.

  • Both Mother Parts and Child Parts can be issued to the same customer in a single transaction, depending on the business requirement.
